Mechanical Estimator (Commercial HVAC/R)

We are seeking a detail-oriented and experienced Mechanical Estimator (Commercial HVAC/R) to review, analyze, and evaluate commercial HVAC, refrigeration, heating, and related mechanical repair and replacement proposals. This role works closely with technicians, vendors, and internal teams to ensure accurate pricing, proper scope development, and cost-effective solutions for our clients.
The ideal candidate has strong HVAC/R industry knowledge, excellent analytical and negotiation skills, and the ability to identify opportunities for cost savings while maintaining quality, safety, and industry best practices.
Key Responsibilities
- Review and evaluate commercial HVAC, refrigeration, heating, and related mechanical repair and replacement proposals.
- Analyze estimates for pricing accuracy, scope completeness, and potential overcharges.
- Identify cost-saving opportunities and recommend alternative repair or replacement solutions when appropriate.
- Review work order history and previous repairs to support informed decision-making.
- Serve as a technical resource for technicians, operations teams, and clients.
- Respond to estimate requests, work orders, and proposal reviews in a timely manner.
- Build and maintain strong relationships with vendors, contractors, and service providers.
- Negotiate pricing and service options to provide the best value for clients.
- Ensure estimates align with industry standards, safety requirements, and company best practices.
- Maintain accurate documentation and provide detailed reporting to support business decisions.
- Perform other related duties as assigned.
Qualifications
- 3-5 years of estimating experience within the HVAC, refrigeration, mechanical, or related trades.
- Strong understanding of commercial HVAC/R systems, heating equipment, controls, and mechanical components.
- Ability to identify pricing discrepancies, evaluate repair versus replacement options, and analyze costs.
- Proven ability to negotiate pricing and develop effective vendor relationships.
- Strong analytical, organizational, and problem-solving skills.
- Excellent verbal and written communication abilities.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Self-motivated, detail-oriented, and capable of working independently.
- Proficient in Microsoft Office Suite, including Excel, Outlook, and Word.
Preferred Qualifications
- Experience within commercial facilities maintenance, mechanical contracting, or service management environments.
- Understanding of electrical drives, lighting and heating systems, control panels, conduits, power distribution systems, and alarm/monitoring systems.
- Familiarity with OSHA regulations and workplace safety standards.
- Experience reviewing service proposals, work orders, and maintenance documentation.
